Create adhoc shift
Introduction 
- Navigate to the site/client that you wish to place a casual/adohoc shift on
- Click on the date the shift was worked (or is requird for) in a free cell
- Book the shift by clicking on the back slash line (cigarette looking icon) on the icon bar
- Ensure the correct date is displayed on the “from date” and “to date” fields
- Enter “shift start” and “shift end” in 24hrs format with a decimal point as the separator for hours – minutes. Times should be entered to the closest quarter hour interval
- Enter the number of similar shifts per day required
- Enter “Order Number” if you have one or one is required
- Order numbers can be determined, if they exist, by prior to creating an adhoc shift, by going to the “order” tab in the “Edit Booking Window” of an existing shift
- Click “save” button
- Click “ok” button when prompted
Using the scheduling workbench
- Creating ADHOC Shifts
- Navigate to the site/client that you wish to place a casual/ado shift on
- Click on the date the shift was worked in a free cell

- Enter the amount of similar shifts per day required
- Enter “Order Number” if you have one or one is required
- Order numbers can be determined, if they exist, by prior to creating an adhoc shift, by going to the “order” tab in the “Edit Booking Window” of an existing shift
- Click “save” button
- Click “ok” button when prompted
- Allocating or replacing a shift
- Navigate to the site/client that you wish to replace a shift on
- Click on the shift you want to replace
- Click “replace” button in the top centre area of the window near the “red” bar field
- Enter the employee number or click drop down box to choose and employee from list of names
- In the “look up choice” type “%” and enter the first few letters of the employee’s surname
- Select the employee from the list of matches
- Double click on the employee or click once to highlight and press “ok”
- Click “ok” to the “look up choice” window
- Click “yes/no/ok” to any warning after reading them carefully
- Click “ok” to the “replace shift” window
- Click “yes/no/ok” to any warning after reading them carefully
- Click the “recycle” icon next to the “site” tab and the site will refresh and all shifts
- Cancelling shifts for an entire site
- On the left hand side of the main navigator screen, double click “Scheduling”
- On the left hand side of the main navigator screen, under “Scheduling” double click “Scheduling Workbenches”
- On the right hand side of the main navigator screen double click “Time Scheduling Workbench – HR”
- Select the weekending you wish to confirm shift/s on, by the last day of the week from the drop down box labelled “W/End” near the top right hand corner of the new workbench window that has opened up
- Click on the “Site” tab
- Select the site you wish to delete shift/s on from the drop down box located in the top left corner of the workbench window
- Maximise the window by clicking the maximise button on the very top corner of the window – next to the “x” button
- Click the “red cross” on the icon bar next to the “green tick” icon
- Click “yes” to prompt box
- Click “Delete All” in the “delete shifts” window
- Click “save”
- Cancelling a single shift ONLY
- On the left hand side of the main navigator screen, double click “Scheduling”
- On the left hand side of the main navigator screen, under “Scheduling” double click “Scheduling Workbenches”
- On the right hand side of the main navigator screen double click “Time Scheduling Workbench – HR”
- Select the weekending you wish to confirm shift/s on, by the last day of the week from the drop down box labelled “W/End” near the top right hand corner of the new workbench window that has opened up
- Click on the “Site” tab
- Select the site you wish to delete shift/s on from the drop down box located in the top left corner of the workbench window
- Maximise the window by clicking the maximise button on the very top corner of the window – next to the “x” button
- Click on the shift cell to highlight
- Select “cancel” button in the top centre of the window near the “P-shift” button
- Click “yes” to prompt box
- Enter a reason for the cancellation of the rostered shift.
- Click the “recycle” icon next to the “site” tab and the site will refresh
- If shift isn’t being re-allocated repeat this process to delete shift entirely
