Create adhoc shift

Introduction

An adhoc shift is one which is unplanned and comes in out of the blue (from an existing client), or from new clients.

Introduction

  1. Navigate to the site/client that you wish to place a casual/adohoc shift on
  2. Click on the date the shift was worked (or is requird for) in a free cell
  3. Book the shift by clicking on the back slash line (cigarette looking icon) on the icon bar
  4. Ensure the correct date is displayed on the “from date” and “to date” fields
  5. Enter “shift start” and “shift end” in 24hrs format with a decimal point as the separator for hours – minutes. Times should be entered to the closest quarter hour interval
  6. Enter the number of similar shifts per day required
  7. Enter “Order Number” if you have one or one is required
  8. Order numbers can be determined, if they exist, by prior to creating an adhoc shift, by going to the “order” tab in the “Edit Booking Window” of an existing shift
  9. Click “save” button
  10. Click “ok” button when prompted

Using the scheduling workbench

  1. Creating ADHOC Shifts
    1. Navigate to the site/client that you wish to place a casual/ado shift on
    2. Click on the date the shift was worked in a free cell
    3. Book the shift by clicking on the back slash line (cigarette looking icon) on the icon bar
    4. Ensure the correct date is displayed on the “from date” and “to date” fields
    5. Enter “shift start” and “shift end” in 24hrs format with a decimal point as the separator for hours – minutes. Times should be entered to the closest quarter hour interval
    6. Enter the amount of similar shifts per day required
    7. Enter “Order Number” if you have one or one is required
    8. Order numbers can be determined, if they exist, by prior to creating an adhoc shift, by going to the “order” tab in the “Edit Booking Window” of an existing shift
    9. Click “save” button
    10. Click “ok” button when prompted
  2. Allocating or replacing a shift
    1. Navigate to the site/client that you wish to replace a shift on
    2. Click on the shift you want to replace
    3. Click “replace” button in the top centre area of the window near the “red” bar field
    4. Enter the employee number or click drop down box to choose and employee from list of names
    5. In the “look up choice” type “%” and enter the first few letters of the employee’s surname
    6. Select the employee from the list of matches
    7. Double click on the employee or click once to highlight and press “ok”
    8. Click “ok” to the “look up choice” window
    9. Click “yes/no/ok” to any warning after reading them carefully
    10. Click “ok” to the “replace shift” window
    11. Click “yes/no/ok” to any warning after reading them carefully
    12. Click the “recycle” icon next to the “site” tab and the site will refresh and all shifts
  1. Cancelling shifts for an entire site
    1. On the left hand side of the main navigator screen, double click “Scheduling”
    2. On the left hand side of the main navigator screen, under “Scheduling” double click “Scheduling Workbenches”
    3. On the right hand side of the main navigator screen double click “Time Scheduling Workbench – HR”
    4. Select the weekending you wish to confirm shift/s on, by the last day of the week from the drop down box labelled “W/End” near the top right hand corner of the new workbench window that has opened up
    5. Click on the “Site” tab
    6. Select the site you wish to delete shift/s on from the drop down box located in the top left corner of the workbench window
    7. Maximise the window by clicking the maximise button on the very top corner of the window – next to the “x” button
    8. Click the “red cross” on the icon bar next to the “green tick” icon
    9. Click “yes” to prompt box
    10. Click “Delete All” in the “delete shifts” window
    11. Click “save”
  2. Cancelling a single shift ONLY
    1. On the left hand side of the main navigator screen, double click “Scheduling”
    2. On the left hand side of the main navigator screen, under “Scheduling” double click “Scheduling Workbenches”
    3. On the right hand side of the main navigator screen double click “Time Scheduling Workbench – HR”
    4. Select the weekending you wish to confirm shift/s on, by the last day of the week from the drop down box labelled “W/End” near the top right hand corner of the new workbench window that has opened up
    5. Click on the “Site” tab
    6. Select the site you wish to delete shift/s on from the drop down box located in the top left corner of the workbench window
    7. Maximise the window by clicking the maximise button on the very top corner of the window – next to the “x” button
    8. Click on the shift cell to highlight
    9. Select “cancel” button in the top centre of the window near the “P-shift” button
    10. Click “yes” to prompt box
    11. Enter a reason for the cancellation of the rostered shift.
    12. Click the “recycle” icon next to the “site” tab and the site will refresh
    13. If shift isn’t being re-allocated repeat this process to delete shift entirely
