Using the scheduling workbench

  • Generating Rosters
    • Editing a standard schedule
      • On the left hand side of the main navigator screen, double click “Scheduling”
      • On the right hand side of the main navigator screen, double click “Maintain Standard Schedules”
      • In the “Standard Schedule” window a list of standard roster template “sites” will be displayed.
      • Double click on the site that you wish to edit
      • double click on the green dot, adjacent to “All/Regular/Phol” under the selected site
      • Maximise the window by clicking the maximise button on the very top corner of the window – next to the “x” button
      • Un-assigning a shift from allocated staff member
        • Click once on the shift that you wish to un-assign
        • Click the “un-assign” button on the bottom centre of the “Standard Schedule” window
        • The selected shift will drop to the bottom of the roster and the role type will be in the name column
      • Assigning a shift to staff member on list
        • If the name of the staff member you wish to allocated the shift to appears on the list already, then click on the shift to highlight
        • Click on the name cell of the staff member on the list
        • click the “assign” button on the bottom centre of the “Standard Schedule” window
        • The selected shift will be moved to the same row of the selected staff member
      • Assigning a shift to staff member NOT on list
        • double click on an empty cell in the “name” column
        • in the “allocation option” window double click “add employee”
        • in the “standard schedule – add employee” window use the drop down box to select your employee
        • click once on the selected employee and the name field will display the chosen employee and their respective employee number
        • click “ok”
        • the name of the new employee will appear on the bottom of the name column
        • click on the shift you wish to allocate, to highlight
        • Click on the name cell of the staff member on the list
        • click the “assign” button on the bottom centre of the “Standard Schedule” window
        • The selected shift will be moved to the same row of the selected staff member
      • To save changes to a site after editing, click the “save” button next to “print”
    • Editing a standard schedule
      • On the left hand side of the main navigator screen, double click “Scheduling”
      • On the right hand side of the main navigator screen, double click “Generate Schedule”
      • In the “generate schedule” window, select “PRG” for the company field by use of the drop down box
      • Enter the date of the Monday for the week/s that you want tot generate the roster for by use of the drop down box calendar
      • Enter the number of week/s that you wish to generate rosters for in the “weeks to generate” field
      • In the “add standard scheduling sites” field, use the drop down box to select the sites that you want to generate rosters for
      • after selecting the sites, click “ok”
      • click “generate” button and rosters will generate
      • click “ok” to the “generation complete” prompt box
      • click “exit”
  • If for any reason you need to re-generate, ensure the “Re-Generate” box is ticked before proceeding with step 4.2.6

 

    • Confirming Roster Allocations
      • On the left hand side of the main navigator screen, double click “Scheduling”
      • On the left hand side of the main navigator screen, under “Scheduling” double click “Scheduling Workbenches”
      • On the right hand side of the main navigator screen double click“Time Scheduling Workbench – HR”
      • Select the weekending you wish to look at shift/s for, by selecting the last day of the week from the drop down box calendar labelled “W/End” near the top right hand corner of the new workbench window that has opened up
      • Click on the “Site” tab
      • Select the site you wish to look at shift/s for, from the drop down box located in the top left corner of the workbench window
      • Maximise the window by clicking the maximise button on the very top corner of the window – next to the “x” button
      • go through site by site to confirm all shifts are entered and allocated where possible
    • Printing Rosters
      • Un-Allocated Shifts Report
        • Whilst still in the “Time Scheduling Workbench – HR”
        • Click on the book looking icon in the icon bar
        • In the “scheduling report options” window, click “un-allocated shifts” and click “ok”
        • In the print preview screen, click the print icon on the far left bottom corner of the screen
        • Click ok to the “print range” window (this will print the report to the printer)
        • exit the print preview window

 

      • Availability Sheet
        • Whilst still in the “Time Scheduling Workbench – HR”
        • Click on the book looking icon in the icon bar
        • In the “scheduling report options” window, click “staff organiser” and click “ok”
        • In the print preview screen, click the print icon on the far left bottom corner of the screen
        • Click ok to the “print range” window (this will print the report to the printer)
        • exit the print preview window
      • Site based rosters
        • Whilst still in the “Time Scheduling Workbench – HR”
        • Click on the book looking icon in the icon bar
        • In the “scheduling report options” window, click “scheduling reports” and click “ok”
        • In the “scheduling report parameters” window click on the location field and delete the site code
        • In the bottom right corner section of the “scheduling report parameters” window where the client code and name are listed, click on the client code and press the “delete” button on your keyboard
        • click on the tick boxes for “include role types” and “break page”
        • click the “run” button
        • click “no” to the message prompt box
        • In the print preview screen, click the print icon on the far left bottom corner of the screen
        • Click ok to the “print range” window (this will print the report to the printer)
        • exit the print preview window
        • exit the “scheduling report options” window
  • please note, you must copy the CVD roster portion twice on the photocopier (one copy for each supervisor)

 

      • Employee based rosters
        • Whilst still in the “Time Scheduling Workbench – HR”
        • Click on the book looking icon in the icon bar
        • In the “scheduling report options” window, click “scheduling reports” and click “ok”
        • In the “scheduling report parameters” window, in the “reports option” section, click “employee”
        • click on the tick boxes for “break page”
        • click the “run” button
        • In the print preview screen, click the print icon on the far left bottom corner of the screen
        • Click ok to the “print range” window (this will print the report to the printer)
        • exit the print preview window
        • exit the “scheduling report options” window
    • Running Payslips
      • On the left hand side of the main navigator screen, double click “Payroll”
      • On the right hand side of the main navigator screen double click “Payroll Workbench”
      • Double click “Company Name” in left hand side of the billing workbench
      • On the bottom left corner of the payroll workbench click on “all”
      • Double click on the weekending generation that you want to print payslips for on the left hand side of the payroll workbench
      • click on the “printer” icon on the icon bar in the right corner of the workbench
      • in the “select pay advices to print” window, click “select all”
      • click “ok”
      • In the print preview screen, click the print icon on the far left bottom corner of the screen
      • Click ok to the “print range” window (this will print the report to the printer)
      • exit the print preview window
      • exit the payroll workbench
