Introduction
The Archiving Software is a facility to purge historical data from the live system databases. You are provided the option to select the date prior to which you wish to archive the system. The system then purges the data corresponding to before the nominated date.

Overview 
The Archiving Systems runs in two modes:
- Online mode: users concurrently logged to the system.
- Offline mode: users logged off the system (Recommended)
The Archiving Process runs through 8 distinct stages
- Stage 1 – Archive Shifts
- Stage 2 – Employee forward open balance
- Stage 3 – Archive Payrun.
- Stage 4 – EPS Archive (Archive Electronic Payments records)
- Stage 5 – Archive Billing (Archive Billing Generations)
- Stage 6 – Archive Responses
- Stage 7 – Archive Employees (Archive Terminated employees)
- Stage 8 – Archive Clients (Archive Inactive Clients)
The system processes all stages in the above order
BEFORE RUNNING THE ARCHIVE PROCESS YOU MUST BACK UP YOUR POWERFORCE SYSTEM & DATA FIRST, THEN CONFIGURE THE ARCHIVE PROCESS FROM THE ARCHIVE CONFIGURATION WINDOW.
Archive Configuration 

The archive system runs each stage by purging the configured number of records then sleeps for configured number of seconds to allow the user to abort archiving at any time while it is in sleep mode.
Enter number of seconds for Sleep Time (Recommend 5 Secs)
Enter Number of Archive records for each stage
Stage 7 - Archive Terminated Employees and Stage 8 – Archive Clients are optional so the user can switch these two stages off/on as required
PowerForce recommends running the archiving offline where all users logged off the system.
Archiving Process Window

After backing up the data and configuring the archiving system, now you ready to run the Arching process as mentioned before PowerForce recommends running archiving offline were all users are logged off the system.
Enter the archive date to keep at leat one year of data. For example if you running this process in July 2005 and want to keep one year of data you enter 01/07/2004.
Click ‘Start’ button to begin archive process.
Note: the user can stop the archive process at any time during sleeping time and continue any other time.
After processing the archiving you can print some statistics by clicking on ‘Print’ button.
